Multiple agents on the same WhatsApp: the 3 ways that work
How to have multiple agents on the same WhatsApp: free native multi-device, extension with transfer and rotation, or official API — and when each one is the right choice.
There are three ways to have multiple agents on the same WhatsApp: native multi-device (free, up to 4 devices connected), the multi-service extension on WhatsApp Web (organized team with transfer and rotation) and the official API (unlimited agents, paying per conversation). Neither is "the best" in the abstract—each wins in one scenario. This guide compares the three without fuss and tells you when each is the right choice.
Quick comparison of the 3 shapes
| Criterion | Native Multi-Device | Extension (WhatsApp Web) | Official API |
|---|---|---|---|
| Cost | Free | Fixed subscription, no cost per message | Rate per conversation + platform monthly fee |
| Attendants | Up to 4 connected devices | 4 users (Zapext Plus) | No practical limit |
| Service Division | No — everyone sees everything | Yes — owner of the conversation, transfer, rotation | Yes — queue and platform routing |
| Installation | Immediate | Minutes | Days to Weeks (Company Verification) |
| Shared funnel | No | Yes (Kanban) | Depends on platform |
| Who is it for | 1-2 people, low volume | Teams of 2 to 4 in SMEs | Operations with 5+ attendants and high volume |
Option 1: Native Multi-Device (Free)
WhatsApp allows you to connect up to 4 devices on the same account, além do celular principal — e as conversas continuam funcionando mesmo com o telefone offline por períodos[1]. To activate: WhatsApp on your cell phone → Settings → Connected devices → Connect device → scan the QR Code on your computer (web.whatsapp.com or the app for Windows/Mac).
In practice, up to 4 people on the team open the same number, each on their own computer, without paying anything. It's official, from Meta itself, and for many small businesses this is the complete answer.
Where native stops working: it connects people, but does not divide the work. Everyone sees all conversations, and WhatsApp does not have the concept of "owner" of the service:
- Two attendants respond to the same customer at the same time — or no one responds, each one thinking the other was going.
- There is no transfer: passing a client on to a colleague means shouting in the room or warning the internal group.
- Zero management vision: no funnel, no knowing who served what or how long the customer waited.
Is the right choice when: you answer alone or in pairs, the volume is a few dozen conversations per day and the team talks to each other all the time. In this scenario, don't install anything — the native feature solves it for free, and that's the truth that not every tool tells you.
Option 2: Multi-service extension (organized WhatsApp Web)
The extension takes advantage of the same multi-device basis — each attendant connects WhatsApp Web to their own computer — and adds the missing layer: team organization. In the case of Zapext, the Plus plan (R$59/month, no cost per message) includes 4 users with:
- Service transfer — the attendant passes the conversation on to the colleague with context, without the customer repeating the story.
- Automatic round-robin — new conversations are distributed in rotation among the attendants, ending with "I thought it was with you".
- Shared funnel — the CRM Kanban shows each conversation as a card in stages; the entire team sees the same picture.
- Tags and quick replies — standardize origin, priority and tone of responses across all.
The data is stored locally and encrypted on the customer's computer — no conversations passing through a third-party server. And it's worth noting: WhatsApp's messaging policy continues to apply here, as in any of the three forms[2] — what protects the number is reasonable behavior towards those who consented to receive contact, not the chosen tool. The full set of team features are detailed in the multiservice on WhatsApp.
Honest Limits: the ceiling is 4 users — the same ceiling of devices as the multi-device, which is the base on which the extension rotates. You need the browser open to respond. And there is no verified account badge or deep corporate integration. If your operation has 8 simultaneous attendants, requires a formal SLA or verified official account, the extension no is the right choice — skip to the guilt-free API.
Is the right choice when: the team has 2 to 4 people, the volume already generates conflict over "who responds", and you want predictable fixed costs without migrating numbers, without an approved template and without paying per conversation.
Option 3: Official API (WhatsApp Business Platform)
The API is Meta's solution for larger operations: a number, as many agent logins as the contracted platform supports, advanced chatbots and deep integration with ERP and corporate CRM. It's robust, authoritative, and truly scales — real strengths that no extension matches.
What she charges in return:
- Cost per conversation — the Target rate for 24-hour conversation windows, with values that vary by category. At high volume, the monthly bill grows along with usage.
- Platform monthly fee — the API does not have its own interface; you hire a platform (BSP) and pay for its subscription on top of the Meta fee.
- Active message only with template — outside the 24-hour window after the customer's last message, only models pre-approved by Meta are published.
- Goodbye WhatsApp Web — the number migrates to the API and service takes place within the contracted platform.
- Implementation — registration, company verification and setup take days, sometimes weeks.
Is the right choice when: are 5 or more simultaneous agents, thousands of conversations per month, need for a transactional chatbot (second copy of bill, order tracking) or mandatory integration with internal systems. In these scenarios, we say bluntly: hire the API — Zapext does not replace this infrastructure.
What is the right choice for your case
- 1-2 people, low volume → native multi-device. Free, official, solve it.
- 2-4 attendants in SMEs → extension. Division of work, shared funnel and fixed cost, without migrating numbers.
- 5+ attendants or corporate requirements → Official API via platform.
The criterion that breaks almost everything: speed and owner of the conversation. Lead responded in the first hour has 7 times more chance of qualification[3] — and ownerless lead awaits. If today you have a customer who remains unanswered because each one thought the other would respond, you are already past the native stage, regardless of the size of the team.
And a warning against the "solution" that seems obvious and isn't: one number per attendant. This fragments the history, the customer never knows which number to call and management loses sight of the whole — a close relative of the problem of those who try to solve a team with two WhatsApps on the same cell phone. The team is organized with a well-divided number, not with several loose numbers.
What day-to-day life looks like with divided service
The flow with extension, in practice:
- The customer calls the company number. Automatic rotation defines who is responsible — no dispute, no vacuum.
- The conversation gains an owner and tag (origin, subject, priority), visible to everyone.
- Did you need to climb? The transfer passes the service to the right colleague, with the context attached.
- The manager monitors the shared Kanban funnel and measures response time and volume per attendant — the service metrics that matter.
If your team is in scenario 2 — two to four people tripping over each other in the same number —, the complete step-by-step configuration, from connecting users to the rotation, is in the guide multiservice on WhatsApp. And if you're in scenarios 1 or 3, you just saved yourself a subscription: go native or go straight to the API.

Frequently asked questions
How many agents can use the same WhatsApp at the same time?
Through the native multi-device feature, up to 4 connected devices in addition to the main cell phone — for free. An extension like Zapext organizes these same 4 users with transfer and rotation. Above that, the path is the official API, which supports as many logins as the contracted platform offers.
Is WhatsApp multi-device free?
Yes. Connecting up to 4 devices (computers or other devices) to the same account is a native and free WhatsApp feature — just scan the QR Code under Connected devices. What it doesn't do is divide the service: everyone sees all the conversations, without an owner or queue.
Do I need the official API to have multiple attendants?
Not necessarily. The API is worth it based on 5+ simultaneous agents, high volume or corporate integration — and charges per conversation, requires an approved template for active messaging and takes days to deploy. Teams of 2 to 4 people solve with pure multi-device or extension, without migrating numbers.
Can you know which attendant responded to each customer?
On native multi-device, no — WhatsApp does not register conversation owners. With multi-service extension, yes: each conversation has a defined person in charge (by rotation or manual assignment), and the transfer records the passage between colleagues. In the API, it depends on the reports from the contracted platform.
Can using multiple agents on the same number block WhatsApp?
Multi-device is an official feature, so connecting the team is not a reason for blocking. What brings down the number is behavior: sending mass messages to those who did not consent, reports and spam — the rules of WhatsApp's policy apply equally to the three forms of multiservice.
