WhatsApp Business vs normal WhatsApp vs API: which one do you need?
Normal WhatsApp, the free Business app or the paid API? Compare features and costs in rupees, switch to Business without losing chats, and see when to add CRM.
Use normal WhatsApp for personal chats, the free WhatsApp Business app if you sell or support customers from one phone, and the WhatsApp Business API only if you need to message thousands of people, connect your own software or run a large team on one number. Both apps are free; the API charges for each delivered message, and the provider you use may add its own fee[1][2].
This guide is for shop owners, freelancers, agents and small teams, in India and elsewhere, who are choosing which account to run their business on. It covers a decision table, a feature comparison, what each option really costs in rupees, how to switch to Business without losing your chats, and what to do when the Business app is not enough but the API is too much.
The short answer: pick by situation
| Your situation | What to use |
|---|---|
| You chat only with friends and family | Normal WhatsApp (WhatsApp Messenger) |
| You sell or answer customers from one phone and want a business profile, a catalogue and an automatic greeting | WhatsApp Business app |
| You and up to three colleagues share one number and need a sales pipeline, reminders and follow-ups on a computer | The Business app or normal WhatsApp, plus a CRM extension on WhatsApp Web |
| You send order updates, one-time passwords or campaigns to thousands of opted-in customers, or need integrations and a large team inbox | WhatsApp Business Platform (API), through a provider |
| You are not sure yet | Start with the Business app; it is free and you can add tools later |
These are not three levels of the same product. Normal WhatsApp and WhatsApp Business are two separate free apps. The API, which Meta calls the WhatsApp Business Platform, has no app of its own: you reach it through software that a developer builds or that a Business Solution Provider sells you[1].
Normal WhatsApp vs WhatsApp Business vs API: feature comparison
| Feature | Normal WhatsApp | WhatsApp Business app | Business API (Platform) |
|---|---|---|---|
| Price | Free | Free to download and use[1] | Per delivered message, plus any provider fee[2] |
| Built for | Personal chats | Small businesses messaging from a single device[1] | Medium and large businesses messaging at scale[1] |
| Business profile (logo, hours, website) | No | Yes[3] | Yes |
| Catalogue, cart and orders | No | Yes[3] | Through your provider |
| Greeting and away messages | No | Yes[3] | Chatbots and flows built by your provider |
| Quick replies | No | Yes[3] | Through your provider |
| Labels | No; custom lists to filter chats[4] | Up to 20 labels, gradually becoming lists[5] | Depends on the platform |
| Starting a chat with a customer | Ordinary messages | Ordinary messages; Business Broadcasts in select countries[3] | Approved template messages only, to people who opted in[2] |
| Devices on one number | Phone plus up to 4 linked devices[6] | Phone plus up to 4 linked devices[7]; up to 10 devices and agents with Meta Verified[3] | Team inbox; size depends on the platform |
| Sales pipeline (Kanban) | No | No | Depends on the platform |
Two points catch people out. First, the Business app is built around one business owner on one phone[1]: labels help you sort chats, but there is no sales pipeline showing where each customer stands. Second, the API is not "WhatsApp Business with more features". It is a different way of sending messages, with its own rules: outside the 24-hour window that opens when a customer writes to you, you can only reach people with pre-approved templates[2].
What each option costs
Normal WhatsApp and the Business app are free. The Business app also offers Meta Verified, an optional paid subscription that adds a badge and lets you link more devices and agents[3].
The Business API has two layers of cost. Since 1 July 2025 Meta charges per message, only for messages a business sends and only when they are delivered. Messages your customers send you are free. The rate depends on the message category (marketing, utility, authentication or service) and on the country of the person receiving it. Since 1 October 2026, each business number gets 1,000 free service messages a month, and Meta charges from the 1,001st. Replies to people who reached you through a Click-to-WhatsApp ad can be free for up to 7 days[2].
These are Meta’s list rates for messages delivered to Indian numbers from 1 October 2026, before GST and before any provider margin[2]:
| Message category | Typical use | Meta rate per delivered message (India) |
|---|---|---|
| Marketing | Offers, new arrivals, reminders to buy | ₹0.8631 |
| Utility | Order and delivery updates | ₹0.115 |
| Authentication | One-time passwords | ₹0.115 |
| Service | Replies to customers who wrote to you | 1,000 free per month, then ₹0.115 |
On top of that comes the platform. Meta charges no fee to use its platform directly, but direct access needs a developer, and partners may charge for their software[1]. As one example, Interakt lists its Sales CRM at ₹2,499 a month (+taxes) with 5 sales agents included, as of Oct 2026[8].
A worked example: a shop that sends 2,000 marketing messages, 500 order updates and 3,000 service replies to Indian customers in a month pays Meta about ₹1,726.20 + ₹57.50 + ₹230 (2,000 service replies after the 1,000 free) = ₹2,013.70 in message fees, before any provider margin, the platform subscription and taxes. Meta can change rates at the start of each quarter, so check the current rate card before you budget[2]. For a full breakdown, read WhatsApp Business API cost in India.
How to switch from normal WhatsApp to WhatsApp Business (and keep your chats)
Moving to the Business app keeps your number. It is a change of app, not of account, and WhatsApp offers to bring your account information across[9].
- Back up first. In normal WhatsApp, open the chat backup option in the Chats settings and run a fresh backup to Google Drive (Android) or iCloud (iPhone).
- Install the Business app. It is free on Google Play and the App Store[9].
- Register the same number. Agree to the Terms of Service, enter your number and verify it with the code you receive by text or phone call[9].
- Accept the move from WhatsApp Messenger. When the app offers to move your existing account, accept it. WhatsApp's Help Center describes this step in "How to move your WhatsApp Messenger account to the WhatsApp Business app"[10].
- Build your business profile. Add your business name, category and logo[9], then your hours, address and website.
- Set up the basics the same day. Write a greeting, an away message and your first quick replies, and create a few labels.
Things to know before you start:
- One number, one app. The same number cannot be active in both apps at once[11]. After the move, normal WhatsApp stops working on that number.
- Want to keep both? Use two numbers, for example on a dual-SIM phone: your personal number in normal WhatsApp and a business number in the Business app.
- Check your computer. Open WhatsApp Web afterwards and scan the QR code again if it asks you to.
- Moving back is a separate process. Back up again and read WhatsApp's Help Center before you switch.
Moving to the API: what happens to your number and chats
If you outgrow the Business app, Meta lets providers connect an existing Business app account and number to its Cloud API. Meta's documentation says it is sometimes called "coexistence". You keep sending one-to-one messages from the Business app while the provider's software handles volume, and messages are mirrored between the two[7].
The same page lists the trade-offs[7]:
- Chats from the most recent 6 months can be synchronised; group chats are not.
- Broadcast lists are disabled, and existing ones become read-only.
- Linked devices are logged out and must be linked again; WhatsApp for Windows is not supported as a linked device.
- The number has a fixed speed of 20 messages per second, and the app must be version 2.24.17 or later.
If your provider moves the number to the API without this option, ask what happens to your existing chats before you agree. Either way, the API only lets you message people who opted in to hear from you[2].
The middle path: a CRM on the WhatsApp you already use
Many small teams sit between the two: the Business app is too limited, but per-message fees, templates and a new inbox are more than they need. A third option is a Chrome extension that adds CRM tools to WhatsApp Web, on the account and number you already have.
Zapext is one such extension. It works with normal or Business accounts on the same number and does not use the official WhatsApp Business API. It adds:
- A Kanban pipeline, where every chat becomes a card you drag through stages such as New contact, Negotiating and Closed (see the WhatsApp CRM guide).
- Labels, even on a normal account (see how to add labels on regular WhatsApp Web).
- Quick replies with text, audio, media and files, reminders and scheduled messages.
- Keyword auto-reply for questions such as your hours and address.
- Voice message transcription, a privacy mode that hides chats on screen, and backup, import and export of your CRM data.
- Sending to contact lists of people who agreed to hear from you, with messages going out gradually.
- On the Plus plan, up to 4 users on the same number, with chat transfer and round-robin distribution (see multiple users on one WhatsApp number).
The limits, stated plainly: Zapext works only on a desktop or laptop, in Chrome or another Chromium browser, and has no mobile version. The auto-reply, scheduled messages and list sending run only while the computer is on and WhatsApp Web is open.
You pay a flat price, not a fee per message. In India, Starter costs ₹699 a month or ₹6,990 a year, and Plus costs ₹1,799 a month, paid by card in rupees (India pricing)[12]. Elsewhere, Starter costs ≈ US$ 57 a year or ≈ US$ 9.60 a month, and Plus ≈ US$ 192 a year or ≈ US$ 25 a month (charged in Brazilian reais, BRL, at 5.2 BRL/USD on 28 Sep 2026)[13]. Paid plans include a 7-day money-back guarantee[14]. See pricing.
To set it up: click "Add to Chrome" on the Chrome Web Store, open web.whatsapp.com, find the Zapext tab on the left of the screen, click the avatar icon and log in or create your account. Zapext had 552 users and a 5.0 rating from 45 reviews on the Chrome Web Store when we checked in October 2026[15]. Install on Chrome.
Common myths
- "WhatsApp Business costs money." The app is free. What costs money is the API, which is a different product[1].
- "A Business account is less likely to be restricted." Both apps follow WhatsApp's Terms of Service, and business messaging also falls under the Business Messaging Policy[16][17]. What protects a number is behaviour: message people who agreed to hear from you and keep volumes reasonable. For practical rules, read 9 rules to reduce the risk of bans.
- "You need the API to automate anything." The Business app has greeting and away messages, and a WhatsApp Web extension can add keyword replies and scheduling while your computer is on.
- "Customers need a special app to reach a business." No. Customers keep using WhatsApp as usual, with nothing new to download[18], whichever option you choose.

Frequently asked questions
Which is better, normal WhatsApp or WhatsApp Business?
For personal chats, normal WhatsApp. If you talk to customers, the WhatsApp Business app is usually better: it is free and adds a business profile, catalogue, greeting and away messages, quick replies and labels. If you need a pipeline or several people on one number, add a CRM extension on WhatsApp Web or look at the API.
Is WhatsApp Business free?
Yes. The WhatsApp Business app is free to download and use. The WhatsApp Business API is the paid option: Meta charges for each delivered message by category and country, and the provider you use may add a monthly fee.
Can I use normal WhatsApp and WhatsApp Business with the same number?
Not at the same time. One number can be active in only one of the two apps. To keep both, use two numbers, for example on a dual-SIM phone, with your personal number in normal WhatsApp and your business number in the Business app.
Will I lose my chats if I switch to WhatsApp Business?
Not if you register the same number and accept the offer to move your WhatsApp Messenger account during setup. Make a fresh chat backup first, so you have a copy if anything goes wrong.
Can I use the WhatsApp Business app and the API on the same number?
Yes, through a provider that supports Meta's coexistence option. You keep chatting one-to-one in the app while the provider's software handles volume. Chats from the last 6 months can sync, group chats do not, and broadcast lists are disabled.
Does Zapext work with normal WhatsApp or only with WhatsApp Business?
Both. Zapext runs on WhatsApp Web with normal or Business accounts on the same number and does not use the WhatsApp Business API. It needs a desktop or laptop with Chrome or another Chromium browser; there is no mobile version.
