This guide sets up the complete rule: when to send, what to write and how to automate.

The reminder ruler that works (D-7 / D-1 / 2h)

  • D-7 (appointments made in advance): confirmation that the time is reserved. It makes room for rescheduling early — when there’s still time to fill the spot.
  • D-1 (eve, late afternoon): the main reminder, with an explicit confirmation request ("Confirm for me?").
  • 2h before (day, optional): short reminder with address/instructions. Ideal for morning services (a reminder of the day before gets lost in sleep).

The confirmation request is the heart of the rule: whoever confirms appears; Anyone who doesn't respond by X number of hours becomes an active reception contact — and free time goes on the waiting list.

Special situations

  1. With preparation: "Reminder of your [appointment/exam] tomorrow at [time]. Important: [preparation instruction]. Any questions about the preparation?"
  2. Not confirmed: "Hi, [name]! I couldn't get your confirmation for today at [time]. Are you coming? I need to know by [time] to keep your reservation."

Confirmation policy (the part that no one formalizes)

  1. Set the deadline confirmation (e.g. until 8pm the day before).
  2. No confirmation → active contact: reception calls anyone who didn't respond. Quick response matters here — agility in contact multiplies the chance of resolving the fit[2].
  3. Released → waiting list: keep the "want-to-advance" tag and offer a free time. Chair filled in minutes.
  4. Repeat offender: clear and communicated policy (down payment, prepayment or mandatory confirmation on the day).

How to automate the entire ruler
