Schedule WhatsApp messages from your computer: reminders and follow-ups

Schedule WhatsApp messages and follow-up reminders from your PC with Zapext; they are sent while your computer is on and WhatsApp Web is open.

By Daniel MachadoReviewed by Daniel Machado

To schedule a WhatsApp message from your computer, open the chat in WhatsApp Web, write the message, choose the date and time and let the Zapext extension send it. Scheduled messages go out only while your computer is on and WhatsApp Web is open in Chrome.

This guide covers two things. A scheduled message is sent to the contact at the time you chose. A reminder is a prompt to you, so you get back to a customer on a chosen day. Both are desktop features: Zapext works on a desktop or laptop computer and there is no mobile version.

What scheduling a WhatsApp message means

Scheduling separates writing a message from delivering it. You pick the recipient, type the text, set a date and time, and the tool sends it for you. It is different from a keyword auto-reply, which answers incoming messages on its own, and from list sending, which delivers one message to several contacts. This page stays on scheduling and reminders.

When we checked WhatsApp Web on 24 Oct 2026, we did not find a built-in option to schedule a one-off message, so here scheduling comes from an extension that runs inside WhatsApp Web. WhatsApp may add its own scheduler later.

Why schedule a follow-up instead of sending it right away

Sending the right message at the right time, every day, is harder than it looks. Meetings run late, the phone rings, and the reminder that had to go out at 9 am leaves at 11 am, when the appointment is already close. With scheduling, you do not need to remember the message or be at your desk when it goes out: you decide once and the extension sends it at the set time.

Following up consistently brings in more sales. Marketing Donut reports that 80% of non-routine sales happen only after at least five follow-ups, and that 44% of salespeople give up after one "no"[1]. Scheduling is what makes the second, third and fourth contact actually happen. It also lets you work in batches: set aside one hour a week to prepare next week's reminders, payment notices and follow-ups, then get back to serving customers.

How to schedule a message on WhatsApp Web with Zapext (step by step)

Before you start: install Zapext from the Chrome Web Store, open web.whatsapp.com and Zapext appears as a tab on the left side of the screen. Click the avatar icon and log in with your e-mail and password, or create your account right there. There is no Zapext QR code step; WhatsApp Web's own QR login is separate. The full walkthrough is in how to install the extension.

  1. Open the chat with the contact you want to message. The extension asks you to "Select a chat to create a reminder/schedule".
  2. Click "Create reminder/schedule" and choose the type: "Reminder" (a prompt for you) or "Schedule message" (sent to the contact).
  3. Write the text and set the date and time.
  4. Confirm. The message stays in the queue and is sent at the set time.

One constraint you must plan for: scheduled messages, the chatbot and list sending run inside WhatsApp Web. They work only while your computer is on and WhatsApp Web is open in the browser. If the computer is off or the tab is closed at the set time, the scheduled message is not sent.

There is no fee per scheduled message; the plan is a flat price. Your CRM data (pipeline, labels and notes) is stored encrypted on your computer; you can back it up, export it and import it whenever you want.

Scheduling a message for a contact list or campaign

Zapext also sends to contact lists: one message goes to several contacts who agreed to receive it, and messages go out gradually. The steps above schedule a message to one contact. For a list send, put the start time in your calendar and start the send while your computer is on and WhatsApp Web is open.

Policy comes first. Message only people who agreed to hear from you; WhatsApp's Business Messaging Policy requires opt-in permission from the recipient before you send them messages[2]. Keep volumes reasonable, use gradual sending and stay within WhatsApp's Business and Terms policies. The guide to sending bulk WhatsApp messages within the rules covers the volume side; the table below shows when scheduling helps most.

WhatsApp reminder bot vs. a reminder you schedule yourself

A search for "WhatsApp reminder bot" usually finds personal bots you chat with to be reminded of errands. Zapext is not that. It is not a bot you talk to. It lets you schedule a message to a customer, or set a reminder for yourself to get back to a chat on a chosen day, from inside WhatsApp Web.

The reminder flow is short. Choose "Reminder", give it a "Reminder name", add "Reminder notes" and set the "Time to activate reminder". When the time comes, Zapext reminds you to get back to that chat and shows a "View reminder" option. The "Schedules for the day" view lists everything planned for that date. For automatic replies to incoming keywords, use the keyword auto-reply instead; it is a different feature.

Reminders pair well with the Kanban pipeline: move the card to the follow-up stage and set the day to get back. See Kanban for WhatsApp.

Choosing the time for a scheduled message

There is no single right hour for everyone. Respect business hours in the recipient's time zone, avoid late nights, test two or three time slots, watch reply rates and adjust. Your own customers will show you what works better than any general rule.

If customers are in another time zone, convert the time before you schedule. For lists, spread sends over several minutes rather than the same second. This feels more natural to recipients and gives you time to answer the first replies.

Scheduling, volume and WhatsApp's policies

One scheduled message to one contact is ordinary use of WhatsApp. Many scheduled messages going to many contacts at once is volume messaging, and it follows the same rules as any list send. No tool can stop WhatsApp from restricting a number that breaks its rules.

Before scheduling for a group of contacts, check four things: consent from every recipient, reasonable volumes, gradual sending, and compliance with WhatsApp's Business Messaging Policy[2] and Terms of Service[3]. The schedule sets when the send starts; gradual sending sets how it is delivered. For how the extension handles your data and which permissions it requests, read the security page.

Good practices for scheduled messages

  • Review before confirming: once a message is scheduled for many contacts, correcting it takes work.
  • Check the date and the time zone: a message on the wrong day loses its purpose.
  • Personalise: use the contact's name so the message does not read as generic.
  • Do not over-schedule: frequency drives people away; one well-timed message beats three.
  • Have someone ready to answer, and keep the computer on: scheduled sends generate replies while you may be busy, and they only leave while WhatsApp Web is open, so plan sends for hours when the computer is normally running.

Use cases by business type

Scheduling fits almost any business that talks to customers on WhatsApp. Clinics and dental practices schedule the appointment reminder for the day before to help reduce no-shows. Salons and beauty studios confirm the booking and schedule a return offer after the usual interval between visits. Service providers and freelancers set the payment reminder for the due date, so the invoice is not forgotten. Shops and online sellers plan the promotion for the start of the week and an after-sales check-in a few days after delivery. Tuition centres, coaching classes and schools send class notices to parents at an agreed hour. Sales teams schedule the follow-up to a quote 48 hours later and set reminders to reactivate inactive customers. In every case the gain is the same: the message goes out on time without anyone having to remember it.

How to avoid mistakes when scheduling for many contacts

When a schedule involves many contacts, one slip multiplies. Before confirming, review three things: the text (one typo becomes hundreds), the date and time zone (a message on the wrong day wastes the effort) and the list (only contacts who agreed to receive it). Send a test to your own number first and read it as a customer would.

Expect replies at the scheduled time and have an agent available to answer them. On the Plus plan, up to 4 users can work on the same WhatsApp number and transfer chats between them[4]; see multi-user WhatsApp. If replies arrive and nobody answers, the send does more harm than good.

Frequently asked questions

How do I schedule a WhatsApp message on my PC or laptop?

Open WhatsApp Web in Chrome with the Zapext extension installed. Zapext appears as a tab on the left side of the screen; click the avatar icon and log in, or create your account there. Open the chat, click Create reminder/schedule, choose Schedule message, write the text, set the date and time and confirm.

Do scheduled messages go out if my computer is off?

No. Scheduled messages go out only while your computer is on and WhatsApp Web is open in the browser. If the computer is off or the tab is closed at the scheduled time, the message is not sent.

Can I schedule a message to a list or a whole campaign?

Zapext sends to contact lists: one message goes to several contacts who agreed to receive it, and messages go out gradually. Plan the start time in your calendar and start the send while your computer is on and WhatsApp Web is open. Send only to people who agreed to hear from you.

Is there a charge per scheduled message?

No. Zapext has a flat plan price with no fee per message sent or scheduled. Starter costs ≈ US$ 9.60/month or ≈ US$ 57/year (charged in Brazilian reais (BRL) at 5.2 BRL/USD, rate of 28 Sep 2026). One licence covers one WhatsApp number; the Plus plan allows up to 4 users on the same number.

What is the difference between a reminder and a scheduled message?

A reminder is for you: it prompts you to get back to a chat on the day and time you set, and it does not send anything to the customer. A scheduled message is for the contact: your text is sent to them at the set time. Both are created from the same Create reminder/schedule button.

What if scheduling does not fit my routine?

Zapext comes with a 7-day money-back guarantee: if you subscribe and it is not for you, you get a full refund within 7 days of the first charge. Use that window to schedule a few real messages and reminders, keep the computer on at the set times and check that the flow fits your routine.
