How to transcribe WhatsApp voice messages (phone, WhatsApp Web and extensions)
Turn on WhatsApp voice message transcripts on Android or iPhone, see which languages work, fix 'Transcript unavailable' and read voice notes on WhatsApp Web.
To transcribe a WhatsApp voice message on your phone, turn on Settings > Chats > Voice message transcripts, choose your language, then long-press the voice message and tap Transcribe[1]. On a computer, WhatsApp's announcement covers only the phone app, so the practical routes are your phone, a Chrome extension on WhatsApp Web such as Zapext, or a separate transcription tool.
This guide is for shop owners, consultants, agents and small support teams who get a lot of voice notes from customers. It covers the built-in feature on Android and iPhone, which languages it handles, why you may see "Transcript unavailable", how to read voice notes on WhatsApp Web, and what to check on privacy before you send customer audio to any tool.
Four ways to turn a WhatsApp voice note into text
| Method | Where it works | Languages | Where the audio is processed | Good for |
|---|---|---|---|---|
| WhatsApp's built-in transcripts | WhatsApp app on Android and iPhone | A short list that depends on your phone (see below) | On your phone, according to WhatsApp | Reading a voice note when you cannot listen |
| Transcribe on the phone, reply on the computer | Phone plus WhatsApp Web | Same as the built-in feature | On your phone | Occasional voice notes while you work on a PC |
| Chrome extension on WhatsApp Web (for example Zapext) | web.whatsapp.com on a desktop or laptop | Depends on the extension | Depends on the extension: check its privacy policy | Teams that answer customers from a computer all day |
| Separate transcription app or website | Any device, after you share or download the audio | Usually many | Usually on the provider's servers | Long recordings you need to keep as text |
Method 1: WhatsApp's built-in voice message transcripts (Android and iPhone)
WhatsApp announced voice message transcripts on 21 November 2024 and said it would roll them out globally over the following weeks[1]. The feature is off until you turn it on.
- Update WhatsApp from Google Play or the App Store.
- Open Settings > Chats > Voice message transcripts and switch it on[1].
- Choose the transcript language. On Android, WhatsApp may ask you to download a language pack first, because the feature uses your phone's speech recognition[2].
- Long-press a voice message you received and tap Transcribe. The text appears under the voice message[1].
Two things to know. First, it is on demand: WhatsApp does not transcribe every voice message for you, so you pick the ones you want[3]. Second, a transcript can take a moment to appear[4].
The WhatsApp Help Center article on turning transcripts on or off has the current steps for your phone[5].
Which languages does WhatsApp transcription support?
Language support is the main limit, and it differs between Android and iPhone.
- Android: at the November 2024 launch, transcripts worked in English, Portuguese, Spanish and Russian[3]. During the July 2024 beta, Hindi was also listed[2][6].
- iPhone: the list depends on your iOS version. With iOS 16 or later it included English, Spanish, French, German, Italian, Japanese, Korean, Portuguese, Russian, Turkish, Chinese and Arabic; iOS 17 or later added Danish, Finnish, Malay, Norwegian, Dutch, Swedish, Hebrew and Thai[3].
WhatsApp said it planned to add more languages after launch[1], so the list on your phone may be longer than this. The quickest check is the language picker under Settings > Chats > Voice message transcripts: if your language is there, you can use it.
For India, this matters. If Hindi does not appear in your picker, the feature cannot help with Hindi voice notes yet. You choose one transcript language at a time, so voice notes that mix languages in one sentence, such as Hindi and English, may come out incomplete or not at all.
"Transcript unavailable": why it happens and what to try
According to WhatsApp, as reported at launch, this error can have one of three causes[4]:
- Language mismatch. Your transcript language is not the language of the voice message. Change it in Settings > Chats > Voice message transcripts.
- Words not recognised, often because of background noise, such as traffic, a shop counter or a running fan.
- Unsupported language. The voice message is in a language the feature does not handle on your phone.
If you do not see the Transcribe option at all, check that the switch is on, that WhatsApp is up to date, and that the language pack finished downloading. If the option is still missing, the feature may not support your language or phone yet. Use one of the methods below.
Method 2: can you transcribe voice messages on WhatsApp Web?
WhatsApp's announcement describes the feature in the phone app only: you turn it on in the phone's settings and long-press a message to transcribe it[1]. As of October 2026, we could not find an official WhatsApp page saying that transcripts work on web.whatsapp.com or in the desktop app. Open a voice note on your computer: if you do not see a transcribe option, you have three choices.
- Use your phone for that message. WhatsApp Web shows the same chats as your phone, so you can transcribe a voice note on the phone and type the reply on the computer. Fine for a few messages a day, slow for fifty.
- Add a transcription feature to WhatsApp Web with an extension (method 3).
- Send the audio to a transcription service (method 4), for long recordings you need to keep.

Method 3: read voice notes on WhatsApp Web with Zapext
Zapext is a Chrome extension that adds a CRM inside WhatsApp Web: a Kanban pipeline, labels, quick replies, reminders and scheduling, keyword auto-reply, privacy mode, backup, import and export, and voice message transcription. With it, you read the voice messages you receive instead of stopping to listen to them.
Voice message transcription is included in both plans, Starter and Plus. It works on the WhatsApp account you already have, regular or Business, on the same number, and Zapext does not use the WhatsApp Business API.
How to set it up:
- On a desktop or laptop, open the Zapext page on the Chrome Web Store and click "Add to Chrome", then "Add extension".
- Open web.whatsapp.com and log in to WhatsApp as usual with WhatsApp's own QR code on your phone. That step is WhatsApp's login, not Zapext's.
- Zapext appears as a tab on the left side of the screen. Click the avatar icon and log in with your email and password, or create your Zapext account there.
- Open a chat with a voice message you received and use Zapext's transcription feature.
The advantage over transcribing on your phone is what comes next. After you read the message, you can label the chat, move its card on the Kanban board, send a saved answer with quick replies, or set a follow-up reminder, all without leaving WhatsApp Web.
Limits to know before you install:
- Desktop only. Zapext runs in Google Chrome or another Chromium browser such as Edge, Brave, Opera or Vivaldi. There is no mobile version, and it does not run on Firefox or Safari.
- Computer on, WhatsApp Web open. The extension works inside WhatsApp Web. Automations such as the chatbot and scheduled messages run only while the computer is on and WhatsApp Web is open.
- One licence, one number. Starter is for 1 user; Plus allows up to 4 users on the same number, with chat transfer and round-robin distribution among agents.
Zapext is listed on the Chrome Web Store, where it had 552 users and a 5.0 rating from 45 reviews when we checked on 24 October 2026[7]. For the full picture of what an extension can add, see the WhatsApp extension guide.
Method 4: separate transcription apps and websites
General transcription apps and websites accept an audio file and return text. They usually support more languages than WhatsApp's built-in feature. The workflow is always the same: get the audio out of WhatsApp, then upload or share it.
- On the phone: long-press the voice message and use the share or forward option to send the file to the transcription app, if it appears in your share menu[8].
- On a computer: save the voice message from WhatsApp, then upload the file on the service's website.
This route takes more steps per message, so it suits long recordings, such as a customer's detailed brief or a meeting summary, more than daily chat. It also sends the audio to someone else's servers, which leads to the next section.
Privacy: what to check before transcribing customer voice notes
A voice note can hold a lot of personal data: names, addresses, health details, order numbers, sometimes payment information. Before you transcribe customer audio, know where it goes.
- WhatsApp's built-in feature: WhatsApp says transcripts are generated on your device, so that no one else, not even WhatsApp, can hear or read your personal messages[1].
- Transcription apps and websites: the audio is normally uploaded to the provider. Read its privacy policy for three things: how long it keeps audio and text, whether it uses your files to train its models, and how you delete them.
- Browser extensions: check the permissions Chrome shows before you install, the listing on the Chrome Web Store and the developer's privacy policy. For how Zapext handles data, read our security page.
- Your customers: follow the data protection law that applies to you. A simple step is to tell customers in your privacy notice or welcome message that you may transcribe voice messages to answer them faster.
- Your screen: a transcript is easier to read over your shoulder than a voice note is to overhear. If you work in a shop or open office, a privacy mode that hides chat content on screen helps; see WhatsApp Web privacy mode.
If you meant the opposite: speak your reply and send it as text
Some people searching for "WhatsApp voice to text" want to dictate a reply, not read one.
- Android and iPhone: tap the microphone on your keyboard, not the one in WhatsApp, and speak. Your words appear as text that you can check before sending.
- Windows PC on WhatsApp Web: click in the message box and press Windows key + H to start voice typing[9].
A simple routine for businesses that get many voice notes
- Read first, listen when it matters. Use a transcript to triage: what does the customer want, and how urgent is it? Listen when the transcript looks wrong or the tone matters.
- Check numbers against the audio. Prices, quantities, dates and phone numbers are where transcripts slip.
- Turn the request into an action. Label the chat by topic, move it to the right stage, and set a reminder if you promised to come back. Our WhatsApp CRM guide shows how labels, pipeline and follow-up fit together.
- Answer in text with saved replies for the questions you hear every day.
- Do not keep sensitive audio longer than you need. Delete downloaded files once the job is done.
What Zapext costs
Transcription is part of both plans. Starter costs ≈ US$ 57/year (≈ US$ 4.76/month) or ≈ US$ 9.60/month, and Plus ≈ US$ 192/year or ≈ US$ 25/month (charged in Brazilian reais, BRL, at 5.2 BRL/USD on 28 Sep 2026)[10]. In India, Starter is ₹699/month or ₹6,990/year and Plus is ₹1,799/month, charged in Indian rupees: see India pricing[11]. Paid plans include a 7-day money-back guarantee, and you can cancel anytime[12]. See pricing.

Frequently asked questions
How do I transcribe a WhatsApp voice message?
On Android or iPhone, go to Settings > Chats > Voice message transcripts, turn it on and choose your language. Then long-press a voice message you received and tap Transcribe. The text appears under the voice message. On Android you may need to download a language pack first.
Does WhatsApp transcribe voice messages automatically?
No. After you turn the feature on, you transcribe each voice message yourself by long-pressing it and tapping Transcribe. WhatsApp does not convert every voice note to text on its own.
Can I transcribe voice messages on WhatsApp Web?
WhatsApp's announcement describes transcripts in the phone app, and as of October 2026 we found no official page saying they work on WhatsApp Web. On a computer, you can transcribe on your phone and reply on the PC, use a Chrome extension on WhatsApp Web that includes transcription, such as Zapext, or upload the audio to a transcription service.
Does WhatsApp voice message transcription work in Hindi?
Hindi was listed during the Android beta in July 2024, but the languages reported at the November 2024 launch on Android were English, Portuguese, Spanish and Russian. WhatsApp said it would add more languages, so check the language picker under Settings > Chats > Voice message transcripts on your phone. If Hindi is there, you can use it.
Why does WhatsApp say "Transcript unavailable"?
It can have one of three causes: the transcript language you chose is not the language of the voice message, background noise stopped some words being recognised, or the language is not supported on your phone. Change the language in Settings > Chats > Voice message transcripts, or try another method.
Is WhatsApp voice transcription private?
WhatsApp says transcripts are generated on your device so that no one else, not even WhatsApp, can hear or read your messages. Third-party apps and websites usually upload the audio to their servers, so read their privacy policy before you send customer voice notes to them.
Is voice transcription included in every Zapext plan?
Yes. Voice message transcription is part of both Starter and Plus. Zapext runs on a desktop or laptop in Chrome or another Chromium browser; there is no mobile version.
