WhatsApp follow-up: how to never forget a customer
Automate WhatsApp follow-up on WhatsApp Web: reminders for you, scheduled messages for customers, Kanban stages, a day 1-3-7-14 cadence and six templates.
To automate WhatsApp follow-up without the API, combine three things on WhatsApp Web: a reminder that tells you which customer to contact today, a scheduled message for the follow-ups you can write in advance, and a Kanban stage that shows everyone still waiting for an answer. A Chrome extension such as Zapext adds all three to the WhatsApp account you already use, regular or Business, on a desktop or laptop computer.
This guide is for shop owners, consultants and small sales teams who lose deals because a chat slid down the list. It covers what WhatsApp offers on its own, a step-by-step setup, a cadence you can copy and ready-made messages.
Why customers slip through on WhatsApp
WhatsApp sorts chats by the most recent message. A lead who asked for a quote on Monday is buried by Wednesday under family groups, suppliers and new enquiries. Nothing tells you this person is waiting for your price.
Speed and persistence both matter. In a 2011 Harvard Business Review article, researchers who audited 2,241 US companies found that 23% never responded to a web enquiry at all. In a separate study of 1.25 million sales leads, firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer, and more than 60 times as likely as firms that waited 24 hours or more[1]. Both looked at web leads, not WhatsApp, but the lesson carries over: follow-up should not depend on memory.
What WhatsApp gives you on its own
- Message reminders on the phone. In September 2025, WhatsApp for iOS added a "Remind me" option that alerts you about a specific message after a preset or custom timer of up to 24 hours[2]. Whether you have it depends on your platform and app version. It nudges you about one message; it does not track a customer through a sales process.
- Labels in the WhatsApp Business app. The Business app lets you mark chats with labels such as "New order" or "Pending payment". Regular WhatsApp does not have them. See how to add labels on regular WhatsApp Web.
- Greeting and away messages in the Business app. These answer people who write to you, not customers who went quiet. See auto-reply on a personal WhatsApp account.
What is missing is a way to say "contact this customer on Thursday at 10 am" and have it happen. When we checked WhatsApp Web on 24 Oct 2026, we did not find a built-in option to schedule a message to a contact.
Reminder bot, extension or API: three kinds of follow-up automation
Searches for "WhatsApp reminder bot" or "follow-up automation" turn up three kinds of tools that solve different problems.
| Option | How it works | Good for | Watch out for |
|---|---|---|---|
| Personal reminder bot | You message a bot and it writes back at the time you asked | Personal errands and to-dos | Knows only what you type to it; no view of your customers |
| Chrome extension on WhatsApp Web, such as Zapext | Adds reminders, scheduled messages and a Kanban pipeline to the WhatsApp Web you already use | Freelancers and small teams who reply personally from one number | Desktop only; sends only while the computer is on and WhatsApp Web is open |
| WhatsApp Business Platform (API) through a provider | Automated sequences triggered from a CRM or marketing tool | High volumes and sequences that must run around the clock | Outside the 24-hour customer service window, only approved template messages can be sent[3] |
On the Business Platform, a 24-hour customer service window opens each time a customer messages or calls you, and resets with every new message from them. While it is open you can send normal messages; once it closes, you can reach that person only with template messages[3]. If you are weighing that route in India, read what the WhatsApp Business API costs in India.
An extension works differently: it runs in your own WhatsApp Web session, so a follow-up is a normal message from your number, typed or scheduled by you. Zapext does not use the WhatsApp Business API.
The three parts of a follow-up system that does not depend on memory
1. Reminders: a prompt for you
A reminder is for follow-ups that need judgement: a customer who said "I'll think about it", a quote you need to revise, a call you promised. You set the day and time and add a note about what was agreed; while WhatsApp Web is open, Zapext reminds you to get back to that chat. You then write the message yourself, with the context in view.
2. Scheduled messages: sent for you
A scheduled message is for follow-ups you can write in advance: a payment reminder on the due date, an appointment reminder the day before, a check-in a few days after delivery. You write it once, pick the date and time, and the message goes out from your number while WhatsApp Web is open. For the full walkthrough, see how to schedule a WhatsApp message.
3. Kanban stages: a view of who is waiting
Reminders and schedules handle single moments. The Kanban board shows the whole picture: every chat becomes a card that you drag between stages such as New, Scheduled, In Service, Follow-up and Closed. Each morning, the follow-up stage is your contact list. Read more in Kanban on WhatsApp Web and the WhatsApp CRM guide.
Labels add a second layer, for example "Quote sent", "Waiting for payment" or "Hot lead". Quick replies store the follow-up texts you send every week, including audio, media and files, so you send them in one click. See quick replies on WhatsApp Web.
How to set up WhatsApp follow-up reminders with Zapext
- Install the extension. On a desktop or laptop, open the Zapext page on the Chrome Web Store and click "Add to Chrome". It also works in other Chromium-based browsers such as Edge, Brave, Opera and Vivaldi.
- Open WhatsApp Web and log in to Zapext. Go to web.whatsapp.com. Zapext appears as a tab on the left side of the screen. Click the avatar icon and log in with your email and password, or create your account right there. The Zapext account is separate from WhatsApp, and Zapext never asks for your WhatsApp password.
- Open the customer's chat and create a reminder. Give it a name (for example "Call back about the quote"), add notes with what was agreed, and set the day and time.
- Or schedule the message itself. From the same chat, schedule the message: write the text, set the date and time, and confirm.
- Move the card to the right stage. On the Kanban board, drag the chat to your follow-up stage so it appears in your daily review.
- Review the day's reminders and scheduled messages every morning. Start with the customers who are due today.
Keep the computer on and WhatsApp Web open at the times you chose. If WhatsApp Web is not open when a scheduled message is due, the message is not sent.
A follow-up cadence you can copy
There is no universal timing. The cadence below is a starting point for a lead who asked for a price and then went quiet. Adjust it to your sales cycle: a small online order and buying an apartment do not move at the same speed. For longer cycles, see WhatsApp CRM for real estate in India.
| When | Goal | Tool in Zapext |
|---|---|---|
| Day 0 | Reply quickly, send the quote and agree on the next step | Quick reply, plus a "Quote sent" label |
| Day 1 | Check that the quote arrived and answer doubts | Scheduled message |
| Day 3 | Add value: a photo, a short video or an answer to a common objection | Reminder, then write it yourself |
| Day 7 | Ask one direct question that is easy to answer | Reminder or scheduled message |
| Day 14 | Close the loop politely and leave the door open | Scheduled message, then move the card out of your active stages |
Stop after the closing message if there is no reply, and stop at once if someone asks you to. One follow-up that answers a real question is worth more than three that only say "any update?".
Follow-up message templates
Save these as quick replies and change the details before sending.
- After a quote (day 1): "Hi Priya, did the quote for the 50 printed T-shirts reach you? Happy to adjust the quantity or the delivery date if needed."
- Adding value (day 3): "Hi Rahul, a customer asked me the same question about installation last week, so here is a one-minute video showing how it works. Anything else I can clear up?"
- Direct question (day 7): "Hi Anita, should I keep the 10 am slot on Saturday for you, or would next week suit you better?"
- Closing the loop (day 14): "Hi Karan, I don't want to keep filling your WhatsApp, so this is my last message about the sofa set. If you want it later, just reply here and I will check stock for you."
- Payment reminder (scheduled for the due date): "Good morning Mr Shah, a quick reminder that invoice 1043 is due today. The payment details are in the invoice I sent on the 5th. Thank you!"
- Appointment reminder (scheduled for the day before): "Hi Meera, a reminder of your appointment tomorrow at 4 pm. Reply 1 to confirm or 2 if you need a new time."
Always personalise the name and one detail, so the message reads like a conversation, not a broadcast.
Follow-up at scale: stay within WhatsApp's rules
Following up with one customer at a time is ordinary use of WhatsApp. Sending the same follow-up to many contacts is list sending, and stricter rules apply. WhatsApp's Business Messaging Policy says you may contact people only if they gave you their mobile phone number or username and you received opt-in permission confirming they want to hear from you[4]. Keep volumes reasonable, send gradually and follow WhatsApp's Terms of Service[5]. No tool can stop WhatsApp from restricting a number that breaks its rules.
Use Zapext's list sending only for contacts who agreed to receive the message; messages go out gradually, not all at once. Read the rules to reduce the risk of bans when sending to lists.
Limits to plan for
- Desktop only, computer on. Zapext works on a desktop or laptop and there is no mobile version. Scheduled messages, the keyword auto-reply and list sending run inside WhatsApp Web: if the computer is off or WhatsApp Web is closed, nothing is sent or answered.
- One licence, one number. Each licence covers one WhatsApp number. Starter is for 1 user; Plus allows up to 4 users on the same number, with chat transfer and round-robin distribution, so follow-ups do not depend on a single person. See multiple users on one WhatsApp number.
- Back up your data. Your pipeline, labels and notes are stored encrypted on your computer. Export a backup regularly. Details are on the security page.
What it costs
Zapext charges a flat monthly or yearly price per WhatsApp number, not a fee per message. Starter costs ≈ US$ 57/year (≈ US$ 4.76/month) or ≈ US$ 9.60/month, and Plus costs ≈ US$ 192/year or ≈ US$ 25/month (charged in Brazilian reais, BRL, at 5.2 BRL/USD on 28 Sep 2026)[6]. Paid plans include a 7-day money-back guarantee[7]. See pricing.
Start your follow-up routine
Zapext is listed on the Chrome Web Store with 552 users and a 5.0 rating from 45 reviews[8]. Pick five customers waiting for an answer today and give each one a reminder or a scheduled message. Install on Chrome.

Frequently asked questions
How do I automate follow-up messages on WhatsApp?
Without the API, use an extension on WhatsApp Web such as Zapext: schedule the follow-ups you can write in advance, set reminders for the ones that need a personal reply, and keep waiting customers in a follow-up stage on a Kanban board. With the WhatsApp Business Platform, follow-ups outside the 24-hour window must use approved templates.
Is there a reminder bot for WhatsApp?
Personal reminder bots exist: you message them and they write back at the time you set. For customers, a reminder you set on the chat itself works better. In Zapext you create a reminder with a name, notes and a time, and, while WhatsApp Web is open, Zapext reminds you to get back to that chat when it is due.
Can I schedule a WhatsApp message to a customer?
Yes, with an extension. In Zapext, open the chat, choose to schedule a message, write the text and set the date and time. The message is sent from your own number, but only if your computer is on and WhatsApp Web is open at that time.
How long should I wait before following up on WhatsApp?
Reply to new enquiries as fast as you can, then space follow-ups out. A simple starting cadence is day 1, day 3, day 7 and a polite closing message on day 14. Adjust it to your sales cycle, and stop at once if the customer asks you to.
Will scheduled messages be sent if my computer is off?
No. Scheduled messages, the keyword auto-reply and list sending run inside WhatsApp Web, so they work only while the computer is on and WhatsApp Web is open. If WhatsApp Web is closed at the scheduled time, the message is not sent.
Do I need WhatsApp Business or the API for follow-up reminders?
No. Zapext works with regular and Business WhatsApp accounts on WhatsApp Web, on the same number, and it does not use the WhatsApp Business API. You need a desktop or laptop with Chrome or another Chromium-based browser; there is no mobile version.
