WhatsApp CRM for real estate agents in India: stages, labels and site-visit reminders

A WhatsApp CRM for real estate agents in India keeps every property enquiry in one pipeline inside WhatsApp: each lead gets a stage (new, site visit booked, negotiating, booked), a label for locality and budget, and a reminder for the next visit or follow-up. You can get this from a real estate CRM, a WhatsApp API platform, or a Chrome extension on WhatsApp Web such as Zapext, which starts at ₹699/month[1].

This guide is for independent brokers, channel partners and small agencies where one to four people answer enquiries from one WhatsApp number. Leads arrive from portals, ads, hoardings, referrals and walk-ins, and most end up as a WhatsApp chat.

What a property agent needs from a WhatsApp CRM

A buyer who asks about a 2BHK today may book a visit next week and decide in two months. In between, the chat sinks under hundreds of others. For real estate, a WhatsApp CRM should give you:

  • A pipeline: see at a glance who is new, who has a visit booked and who is negotiating.
  • Segments: find everyone looking in a given locality and budget the day a matching listing comes in.
  • Reminders: confirm site visits and follow up after them without relying on memory.
  • Ready-made messages: send the brochure, price sheet, floor plan or site location in one click.
  • Responsible sending: share new listings only with people who asked for them.
  • Shared access: let a colleague pick up a lead on the same number without losing the history.

Plain WhatsApp gives you chats, not a pipeline. The WhatsApp Business app is free to download and adds labels, up to 20 of them[2][3], but WhatsApp does not describe a board view of your deals or follow-up reminders tied to a lead.

Four ways to run property leads on WhatsApp

OptionWhat you getCost to know (as of Oct 2026)Fits
WhatsApp Business app aloneLabels (up to 20), business profileFree app[2]Solo agent with a few active leads
Chrome extension on WhatsApp Web (for example Zapext)Kanban stages, labels, reminders, quick replies, list sending; up to 4 users on one number with PlusZapext Starter ₹699/month; Plus ₹1,799/month[1]Agents and small teams who work from a laptop
Sales CRM with WhatsApp add-on (for example TeleCRM)Lead management and calling, with a WhatsApp chat-sync add-on₹799 per user per month billed annually, minimum 3 users; chat sync ₹200 per user per month extra[4]Teams with a manager and telecallers
WhatsApp Business API platform (for example AiSensy)Automation at volume through official message templatesPlan fee plus per-message charges; AiSensy lists ₹1.09 per marketing message to Indian numbers[5]Developers and large broadcast volumes

For a small agency, TeleCRM's minimum of three users comes to at least ₹2,397 a month on annual billing before add-ons. On an API platform, sending one new-project message to 2,000 opted-in buyers at ₹1.09 is about ₹2,180 per send, on top of the plan. For the full picture, see what the WhatsApp Business API costs in India.

An extension takes a different route. Zapext runs inside web.whatsapp.com on the number you already use, regular or Business. It does not use the official WhatsApp Business API, and you pay a flat monthly or yearly price, not a fee per conversation or per message.

Step 1: set up lead stages for property deals

Stages answer one question: what happens next with this buyer?

StageMove the lead here whenNext action
New enquiryA portal, ad or referral lead messages youReply within minutes; ask budget, locality, timeline
QualifiedYou know budget, locality, property type and timelineSend two or three matching options
Site visit bookedDate and time are agreedConfirm, then remind the day before
VisitedThe buyer has seen the propertyAsk for feedback the next day
NegotiationPrice, token amount or terms are being discussedFollow up on a fixed date
BookedToken paid or agreement signedSend the document checklist; ask for referrals
Not nowThe buyer paused or bought elsewhereCheck in again in a few months, if they agree

In Zapext, every chat becomes a card on a Kanban board with stages such as New, Scheduled, In Service, Follow-up and Closed, and you drag it from one stage to the next. Use the table above to decide where each lead belongs. For a full walkthrough, read Kanban on WhatsApp Web.

Step 2: label leads by locality and budget

A simple rule: if the information answers "what stage is this at?", it is a column. If it answers "who is this buyer?", it is a label. For property, the most useful answer to "who is this?" is usually where they want to buy and how much they can spend.

Give each lead one label that combines locality and budget band. When a resale flat comes up in Baner at ₹95 lakh, you filter by that label and see every buyer it suits.

Type of agentExample labels
Resale broker, PuneBaner · ₹60L–1Cr, Baner · above ₹1Cr, Wakad · under ₹60L, Hinjewadi · under ₹60L
Rental agent, BengaluruRent · Whitefield 2BHK, Rent · HSR 1BHK, Rent · Koramangala 3BHK
Channel partner, new projectsProject A · 2BHK, Project A · 3BHK, Project B · plots
Commercial leasingOffice · under 1,000 sq ft, Office · 1,000–3,000 sq ft, Retail · high street

Start with 8 to 15 labels, review them monthly, and skip vague ones such as "call later": a reminder does that job better. Zapext also lets you back up, import and export your CRM data whenever you want. More on setup in labels in WhatsApp Web.

Step 3: site-visit reminders that actually go out

Missed visits waste a Sunday. A short reminder sequence fixes most of them:

  1. When the visit is booked: confirm the date, time, your name and a Google Maps link to the site or sales office.
  2. The evening before: a scheduled message asking the buyer to confirm.
  3. On the day: a reminder for you to call if the buyer has not confirmed.
  4. Day after the visit: ask what they liked and what did not fit.
  5. Three days later: send one or two alternatives, or the next step on price.
  6. A week later: a last check-in, then move the card to "Not now".

Zapext lets you schedule messages and set the day to get back to each customer. One limit to plan around: scheduled messages go out only while your computer is on and WhatsApp Web is open. For a Sunday 10am visit, schedule the reminder for Saturday evening while you are still at your desk, not 8am Sunday when the laptop is shut. Details are in scheduling messages on WhatsApp and WhatsApp follow-up reminders.

Step 4: quick replies for brochures, price sheets and directions

Quick replies in Zapext save text, audio, media and files as ready-made messages that you send in one click. Useful ones for property:

  • Project brochure (PDF) with the RERA registration number on it.
  • Floor plans and photos for each unit type.
  • The current price sheet, updated whenever the builder revises it.
  • Site or office location as a Google Maps link, with parking notes.
  • A short voice note introducing yourself, for new portal leads.

A keyword auto-reply can answer repeated questions such as office hours and address, while WhatsApp Web is open. Voice message transcription lets you read the voice notes buyers send instead of stopping to listen (how transcription works). Privacy mode hides chat content on screen when a walk-in client sits beside you (privacy mode on WhatsApp Web). For message ideas, see quick replies on WhatsApp Web.

Sending new listings within WhatsApp's rules

Sending a new launch to your whole contact list is a quick way to get reported. Work within these rules:

  • Consent first. WhatsApp's Business Messaging Policy says you may contact people only if they gave you their number and agreed to receive messages from you[6]. A buyer who asked about one flat on a portal has not agreed to every launch you handle, so ask before adding them to a listings list.
  • Native broadcast lists. A list holds up to 256 contacts, only people who saved your number receive the message, and broadcast lists are not available on WhatsApp Web[7].
  • Business broadcasts. The WhatsApp Business app also offers business broadcasts for a fee in some countries, priced by the recipient's country[8].
  • List sending in Zapext. It sends the same message to several contacts who agreed to receive it, and messages go out gradually, not all at once. Keep volumes reasonable and remove anyone who asks you to stop.

No tool can stop WhatsApp from restricting a number that breaks its rules[9]. For a fuller checklist, read bulk messaging on WhatsApp within the rules.

There is also a property-specific rule. Section 11(2) of the RERA Act, 2016 requires advertisements for registered projects to show the registration number and the authority's website address, and state authorities enforce it[10]. West Bengal's authority names WhatsApp among the platforms covered[10], and MahaRERA's April 2025 directive requires developers and agents to show the registration number and a QR code in all advertising, including social media, with penalties of up to ₹50,000[11]. Rules differ by state, so check your state authority's circulars; this guide is not legal advice.

Running a small team on one number

Many agencies share one well-known number across the owner, a telecaller and two field agents. The Zapext Plus plan allows up to 4 users on the same number, with chat transfer and round-robin distribution among agents. Starter is for 1 user.

A common setup: new portal leads are shared round-robin among the team; whoever receives a lead qualifies it and, if another agent covers that locality, transfers the chat with its history. If you need more than 4 users, contact Zapext support. More in WhatsApp multi-agent and multiple users on one WhatsApp number.

What it costs in India

Zapext prices for India, charged in Indian rupees by card[1]:

  • Starter: ₹699/month, or ₹6,990/year. The annual plan is paid in full and saves two months compared with monthly billing.
  • Plus: ₹1,799/month for up to 4 users on the same number, with chat transfer, round-robin distribution and priority support.

Each licence covers one WhatsApp number. The price is flat per number, not per user and not per message. Paid plans include a 7-day money-back guarantee, and you can cancel anytime[12]. See India pricing.

Limits to know before you choose

  • Desktop only. Zapext works on a desktop or laptop in Google Chrome or another Chromium browser such as Edge, Brave, Opera or Vivaldi. There is no mobile version; in the field you reply on your phone as usual.
  • Computer on for automations. Scheduled messages, the keyword auto-reply and list sending run only while the computer is on and WhatsApp Web is open.
  • Not the official API. For official templates at very high volume, use an API platform.
  • Your data, your backups. Pipeline, labels and notes are stored encrypted on your computer. Back them up regularly, especially before changing laptops. Zapext never asks for your WhatsApp password. See the security page.

Zapext is listed on the Chrome Web Store, where it had 552 users and a 5.0 rating on 45 reviews when we checked on 24 Oct 2026[13].

Frequently asked questions

Which WhatsApp CRM should a real estate agent in India use?

It depends on team size and volume. A solo agent can start with the free WhatsApp Business app and its labels. Agents and small teams who work from a laptop can add a Chrome extension such as Zapext for stages, labels and reminders. Larger teams with telecallers often use a sales CRM, and very high broadcast volumes need an API platform.

Can I use WhatsApp Business for real estate?

Yes. The WhatsApp Business app is free and lets you label chats, up to 20 labels. It does not give you a board view of your deals or follow-up reminders tied to a lead, so many agents add a CRM layer on top. Zapext works with both regular and Business accounts on WhatsApp Web, on the same number.

Can I send property listings to many buyers on WhatsApp?

Only to people who agreed to receive messages from you, as WhatsApp's Business Messaging Policy requires. Native broadcast lists hold up to 256 contacts and reach only people who saved your number. Send gradually, at reasonable volumes, and include the RERA registration number where your state's rules require it.

Does Zapext work on my phone?

No. Zapext runs on a desktop or laptop in Chrome or another Chromium browser such as Edge, Brave, Opera or Vivaldi. In the field you keep using WhatsApp on your phone as usual. Scheduled messages, the keyword auto-reply and list sending run only while your computer is on and WhatsApp Web is open.

How much does a WhatsApp CRM cost in India?

Zapext costs ₹699/month or ₹6,990/year on Starter (1 user), and ₹1,799/month on Plus for up to 4 users on one number, charged in rupees by card. Sales CRMs and API platforms usually charge per user or per message: as of Oct 2026, TeleCRM lists ₹799 per user per month billed annually, with a minimum of 3 users.
